The United Nations Framework Convention on Climate Change (UNFCCC) is the focus of the political process to address Climate Change. The Convention secretariat supports the Convention and its Kyoto Protocol by a range of activities, including substantive and organizational support to meetings of the Parties.
The Sustainable Development Mechanisms (SDM) Programme supports the implementation of the Kyoto mechanisms, the Clean Development Mechanism (CDM) and Joint Implementation (JI). The Organization and Stakeholder Development unit provides reference and technical support to the stakeholders and the programme.
Responsibilities
Under the general supervision of the Manager of the Organization and Stakeholder Support Unit, the Team Assistant performs a wide range of office support, secretarial and administrative functions. In particular the incumbent will:
1. Perform a wide range of secretarial and administrative support by:
• Drafting routine correspondence, typing reports, official documents, and other UNFCCC correspondence, searching for relevant background material, which may be needed for reply; preparing presentations using Power Point;
• Proof-reading and checking correspondence, reports, statistical tables and other documents for accuracy, format, spelling, grammar, enclosures and addresses, sending faxes and electronic mail;
• Placing and screening telephone calls, responding to routine requests for information, receiving visitors;
• Screening, registering and routing incoming mail and ensuring follow-up action on pending issues according to deadlines and priorities; maintaining office files, archives and records (both paper and electronic);
• Typing various administrative forms including travel requests and travel claims of professional staff;
• Obtaining supporting documentation and information from consultants/contractors and others; typing terms of reference and other relevant documents, and following up on their processing;
• Taking notes and preparing draft minutes at meetings;
• Maintaining appointment schedules and contact lists.
2. Update databases and upload/update relevant sections of the UNFCCC web site; ensure the accuracy of data, including that documentation submitted is in accordance with applicable procedures.
3. Provide logistical support to meetings and workshops, request and follow up on travel arrangements for staff members and participants, liaise with the Travel unit and other relevant units on meetingrelated administrative issues such as meeting plans, payments of Daily Subsistence Allowance, contracts and payment requests for consultants.
Requirements
• Completion of secondary education or equivalent. Specialized clerical/secretarial and web/computer applications training is an asset.
• At least four (4) years experience working in an office support function. At least one year of experience in an international environment is an asset.
• Fluency written and spoken English. Working knowledge other United Nations languages an asset.
